Booking Bot for a Beauty Salon, Barbershop or Clinic

Clients message on Instagram at half past eleven at night, the receptionist replies in the morning and the slot is already gone. A Telegram booking bot closes that gap: it shows free times, books, reminds and takes a deposit. Here is what it needs to have.

For a salon, barbershop, nail or massage studio or a small clinic, booking is the core process of the business. While it lives in messengers and a notebook, the receptionist spends half the day on it and some clients never get booked at all. A Telegram bot works where your clients already are and needs no separate app.

Why Telegram rather than an app or a website

  • The client installs nothing and registers nowhere: the bot opens from the link in your Instagram profile or a QR code at the front desk.
  • Reminders arrive in the same chat where the booking was made, and people read them, unlike email.
  • A bot is built several times faster than a mobile app and needs no App Store review.
  • For complex screens such as a monthly calendar, Mini Apps work inside Telegram: a full web interface without leaving the chat.

A booking flow that works

  1. Choose a service. A list with prices and durations. The bot needs the duration to calculate free slots correctly.
  2. Choose a specialist or "anyone available". For clinics, also a branch.
  3. Date and time. The bot shows only genuinely free slots, taking into account the specialist's schedule, breaks and existing bookings.
  4. Contact. Name and phone come from the Telegram profile; the client only confirms.
  5. Confirmation. The bot sends a summary to the client and a notification to the receptionist or the specialist.
  6. Reminders. A day and two hours before, with "Confirm" and "Reschedule" buttons.
  7. After the visit. A review request and, if you like, a bonus for the next visit.

It is not bookings that eat the receptionist's time but rescheduling and cancellations. Let the client do that with buttons in the bot and the slot frees up for others immediately.

What the owner needs

FeatureWhy
Specialists' schedulesholidays, shifts, breaks; the bot removes busy hours itself
Today's and this week's bookingsin the bot or in Google Calendar, where every booking is synced
Prepaymentfor services where a no-show is expensive: the client pays part right in Telegram
Client basevisit history, favourite specialist, birthday for promotions

For a single salon that replaces a CRM. For a chain of branches, or when you need roles, reports and a till, look at an admin panel or CRM with the bot as a booking channel.

How long it takes

A booking bot with specialists' schedules, reminders and receptionist notifications is from 2 weeks of work. Prepayment, Google Calendar and broadcasts add a few days each. The tiers and what drives the price are in How much does a Telegram bot cost.

Where to start

  1. Write down the services with durations and prices, the specialists' schedules and the rules: how late a client can cancel, whether a deposit is required.
  2. Decide where bookings should go: only into the bot, into Google Calendar or into the CRM you already use.
  3. Send it to us. We will propose a flow, show a test bot and agree the copy so the bot speaks your salon's language.
Can clients still book through Instagram and by phone?

Yes. The bot does not replace other channels, it unloads them: the receptionist enters phone bookings into the same schedule and the bot takes them into account.

What happens if a specialist is ill?

The receptionist closes the day in the schedule, the bot messages that day's clients itself and offers to reschedule with a button.

How will clients find out about the bot?

A link in the Instagram profile, a QR code at the front desk and on business cards, a button on the website. The bot can also be found through Telegram search.

Does a bot work for a clinic with several doctors?

Yes, the flow is the same: services, specialists, branches, schedules. For medical data we agree separately what is stored in the bot and what stays in your system.
